About this medical letter

Travel and holiday cancellation certificate

Travel and holiday cancellation certificate

A travel and holiday cancellation certificate – sometimes called a ‘not fit to fly’ letter or ‘unfit to travel’ certificate – is an official document from a GMC-registered UK doctor confirming you are medically unable to travel on your scheduled departure date. Airlines, holiday providers, and travel insurers require this specific document to process refunds, waive change fees, or support insurance claims. It is not the same as a fit-to-fly certificate – it must clearly state you are unfit to travel.

ZoomDoc issues travel cancellation certificates online, with an average turnaround of 1 hour. No GP appointment needed. Upload your evidence, our doctors review it, and your certificate arrives by email the same day – with a QR code for instant verification by airlines and insurers.

Why do I need a travel cancellation certificate?

A travel cancellation certificate serves a different purpose to a general sick note or a fit-to-fly letter. The document must explicitly state that you were medically unfit to travel on your booked departure date – vague confirmation of illness is unlikely to be accepted by airlines or insurers.

Travel insurance claims

Most UK travel insurers require a signed doctor’s letter that explicitly states you were unfit to travel on your departure date before they will pay out on a cancellation claim. A standard sick note is not sufficient – the certificate must confirm the impact of your condition on your ability to travel on that specific date.

Airline refunds and fee waivers

Many airlines – including easyJet, Ryanair, British Airways, and TUI – operate compassionate refund or fee waiver policies for passengers who can provide a medical certificate confirming they were unable to fly. Some airlines have their own specific GP medical report forms; ZoomDoc doctors can complete these forms in addition to issuing the standard certificate (additional charge applies).

Holiday provider cancellations

Package holiday providers, cruise lines, and tour operators may also require a certificate as evidence before applying medical cancellation terms to your booking. Policies vary by provider – check your booking terms before purchasing.

Important: this is not a fit-to-fly certificate

A fit-to-fly certificate confirms you are medically fit to travel – the opposite of what this document does. Do not use a fit-to-fly letter for a cancellation claim. The certificate ZoomDoc issues for this service explicitly states you are unfit to travel on your booked dates.

What will I receive?

You will receive a verifiable digital PDF letter signed by a medical professional and sent directly to your inbox, containing:

  • Your name and date of birth.
  • The sickness or medical condition that has impacted your travel plans.
  • When symptoms started and if they are ongoing or if you are now recovered.
  • Signature and authorisation by one of our GMC-registered UK doctors.
  • Contact details of ZoomDoc Health with a QR code enabling a verification check.
  • An explicit statement that you were medically unfit to travel on your booked departure date – the specific wording required by airlines and insurers.
  • The GMC registration number of the issuing doctor, which airlines and insurers use to verify authenticity.

Who needs a travel and holiday cancellation certificate?

Different situations call for slightly different approaches. The certificate itself is the same document – but the circumstances below reflect the most common queries our doctors receive, and the specific questions insurers and airlines are likely to ask.

Cancelling due to sudden illness before departure

If you’ve fallen ill in the days before your trip and cannot travel, a cancellation certificate confirms your condition and its timing relative to your departure date. Upload a short video describing your symptoms, complete the health questionnaire, and our doctors will confirm the onset date and its impact on your travel plans. Most travel insurers require the certificate to confirm you were symptomatic and unfit to travel before your scheduled departure – not just that you were ill at some point.

Common questions in this situation:

  • Can I get a same-day travel cancellation certificate if I’m too ill to fly tomorrow?
  • Will my travel insurer accept an online doctor’s letter for a cancellation claim?
  • Do I need a GP letter or will an online medical certificate be accepted?

Cancelling a package holiday due to injury

An injury that prevents travel – a broken bone, post-surgical recovery, or a significant mobility-affecting injury – is one of the most common reasons for travel cancellation claims.
For these cases, our doctors will note the nature of the injury, when it occurred, and why it makes travel unsafe or impractical on your departure date.

Common questions in this situation:

  • Can I cancel my holiday if I’ve broken my leg?
  • Will a medical certificate for a broken bone be accepted by my holiday insurer?
  • I had surgery recently – can I get a certificate saying I’m unfit to fly?

Cancelling because a travelling companion is seriously ill

If you need to cancel your own travel because a family member, partner, or travelling companion is seriously ill or has died, some airlines and insurers will consider this under compassionate grounds – provided you can supply appropriate documentation. In this situation, the certificate relates to the ill person’s condition and its impact on your planned travel as their companion or carer.

Common questions in this situation:

  • Can I cancel my holiday if a family member is seriously ill?
  • My travel partner has been hospitalised – can I get a cancellation letter?
  • Does a travel cancellation certificate cover cancellation due to a family bereavement?

Cancelling an easyJet or Ryanair flight for medical reasons

easyJet and Ryanair both have specific processes for medical cancellations. easyJet requires a GP medical report form or equivalent signed certificate before they will waive change fees. Ryanair’s policy requires documentation confirming you were unfit to travel. ZoomDoc’s certificate meets these requirements – and if your airline requires a specific form completed, our doctors can do this for an additional charge of £25. Contact us before purchasing if you need clarification on your airline’s specific requirements.

Common questions in this situation:

  • Does easyJet accept online medical certificates for cancellation refunds?
  • What form does Ryanair require for a medical cancellation?
  • Can ZoomDoc complete my airline’s specific cancellation medical form?

A fit-to-fly certificate confirms you are medically able to travel - the opposite of what a cancellation certificate does. Airlines and insurers will reject a fit-to-fly certificate for cancellation purposes - the document must clearly confirm you were unable to fly, not that you were fit to do so.

Yes, provided the certificate is signed by a GMC-registered doctor and explicitly states you were unfit to travel on your departure date. ZoomDoc certificates are signed by UK GMC-registered doctors, include the doctor's GMC registration number, and carry a QR verification code that insurers can scan to confirm authenticity. If your insurer has a specific form they require completing, our doctors can do this for an additional charge of £25 - email support@zoomdoc.com with the form after purchase.

  • Does easyJet accept an online medical certificate for a flight cancellation refund?

easyJet requires a GP medical report form or equivalent signed certificate before waiving change fees or considering a compassionate refund due to medical reasons. If easyJet has provided you with a specific form to complete, our doctors can complete and sign it alongside the standard certificate - contact us before purchasing to confirm your requirements.

  • Can I cancel my holiday due to a family member's illness or death?

Some holiday providers and insurers will consider cancellations where a travelling companion, close family member, or dependant has become seriously ill or died - but policies vary significantly by provider. Check your booking terms first. If documentation is required confirming the ill person's condition and its impact on your travel plans, contact us before purchasing to confirm we can assist in your specific situation.

  • How quickly can I get a travel cancellation certificate?

ZoomDoc's average turnaround is 1 hour from evidence submission. Our doctors operate 7 days a week, 9am to 9pm GMT. Upload your video evidence and complete the health questionnaire before 9pm and you will receive your certificate the same day. If you need it urgently for a same-day insurance submission, contact us before purchasing.

  • My GP can't see me quickly enough - can I use ZoomDoc instead?

Yes. NHS GPs are not required to provide medical certificates for travel cancellation purposes, and many will decline or have waiting times that make same-day or next-day certification impossible. ZoomDoc's GMC-registered doctors issue travel cancellation certificates entirely online - no appointment, no waiting room. The process takes minutes to complete, and your certificate is typically in your inbox within 1 hour.
